Sharing Tasks and Lists Transcript

In this video, we are going to cover sharing tasks and lists. As previously mentioned, what and how you share depends on the type of Microsoft account you are using with To Do. If you are using a personal Microsoft account, you can only share lists with others. However, if you’re using a school or work account, you can also share tasks with others inside your organization by assigning them. Since everyone can share lists, we’ll start with that.

To share a list, select it from the left panel, and then click the icon in the upper right that looks like a person's head with a plus sign. Then, click create invitation link in the popup window. This will create a link others can use to join the list. You can send it to others in an email using the invite via email button, or you can copy it to your clipboard and share it using your preferred method.

For those of you using a school or work account, here’s how to assign a task to someone else in your organization. First select the task, and then click assign to in the detail panel on the right. Now , click create invitation link in the popup window. This link is actually an invite to join the list this task is in. It works exactly the same as the link we created before to share a list. When other members in your organization have used the link to join the list, they will show up here under the list members. You can click on their name to assign the task.

If you need to un-share a list with someone, or stop sharing it all together, return to the list and click on the button in the top right that has two heads in it, and then click manage access. Here you can prevent new members from joining, remove members, or stop sharing the list all together.

Now you know how to share, and un-share tasks and lists.
